POSITION TITLE: Education Project Supervisor – Classroom/Online

DEPARTMENT: Education Resources


POSITION SUMMARY:

Responsible for overseeing internal operational aspects of classroom education for new development and revisions, as well as for overseeing internal operational aspects of technology-based education (TBE) for new development and revisions. Classroom liaison to students who have questions concerning courses, seminars, or certificate programs. Using established guidelines, TBE liaison to students who have basic technical questions concerning courses, seminars, or certificate programs. Classroom and TBE education liaison to marketing, delivery, chapter services, and state certification teams. Responsible for coordinating, managing, executing, and monitoring special projects in classroom and TBE development. Responsible for coordinating technical and administrative aspects of TBE webinars. Responsible for developing and implementing classroom and TBE SOPs to maximize department efficiency.

Relationships:

  • Reports to both the Sr. Manager of Classroom Education and the Sr. Manager of Technology Based Education.
  • Assists the Sr. Manager of Classroom Education, Sr. Manager of TBE, Director of Education Resources with special assignments and projects.
  • Liaison to the Meeting Services team regarding development meetings and walkthroughs.
  • Liaison to Marketing staff to coordinate classroom and TBE marketing goals.
  • Interacts with software vendors regarding student issues and new course and seminar materials.
  • Interacts closely with new course developers, review teams, Education Content Specialist, subject matter expert teams, and development team members.
  • Interacts closely with print vendor, Grubb & Ellis regarding new course and seminar materials.
  • Interacts closely with Legal Department regarding contracts.
  • Interacts closely with Finance department regarding royalty agreement payments and check requests.
  • Liaison between Classroom and TBE team and Information Services team regarding new materials, exam changes, and other education development issues connected to the AIMS database.

Job Responsibilities:

Standard Operating Procedures

  • Creates and implements classroom and TBE department SOPS to maximize department efficiency. Evaluates processes for overall efficiency. Trains Classroom Education and TBE team on new or revised procedures. Revises and updates on periodic basis.

Liaison between Classroom Education & Technology Based Education

  • Determines and implements procedures that streamline the development process of blended learning between classroom and technology based education.

Special projects

  • Handles all aspects (drafting plan, determining timelines, preparing materials) of special projects dealing with state certification issues, AQB requirements, etc.
  • Prepares new materials and coordinates delivery for state certification: 1st or 2nd draft, instructor bio information, AQB topic matrices, SC timetables, additional Florida exams. Ensures materials are delivered to state certification department within specified timeframes.
  • Works closely with Sr. Manager Classroom Education to prepare necessary documents for development meetings using AIMS database to retrieve information.
  • Handles other projects as assigned by the Sr. Manager of Classroom Education, the Sr. Manager of TBE, or the Director of Education Resources.

Development

  • Works closely with both Sr. Manager of Classroom Education and the Sr. Manager of TBE to ensure education programs are developed quickly and efficiently. Coordinates and implements all administrative elements: Creates payment schedule for developer and reviewer payments; monitors arrivals of drafts; ensures adherence to project specifications and deadlines; prepares drafts for review; processes payments; assists with walkthrough and premiere tasks. Works with Sr. Manager (and Manager of Seminar Development) to move process forward.
  • Contacts chapters about co-sponsoring new course premieres. Negotiates instructor costs, materials costs, contracts, and marketing arrangements.
  • Coordinates all tasks related to in-house development meetings and walkthroughs. Works with Meeting Services team to arrange hotel accommodations. Prepares and delivers participant materials, coordinates all meeting needs, communicates with developers, development team members, reviewers.

Exams and Evaluations

  • Responsible for ensuring all course examination information including answer keys and exam feedback to students is entered into database correctly and quickly. Assists members in interpreting exam critique results.
  • Develops and maintains a tracking system for course program evaluations and exam analysis reports. Compiles information and uploads reports to Communities of Practice for course content expert teams.
  • Responsible for project managing Pearson Vue Computer Center online exams: ensures correct exam version is sent and being used by Pearson Vue.

Finance

  • Responsible for all financial tasks related to course development. Analyzes expenses: develops spreadsheets for revenue expenses and comparison analysis. Determines when invoices and check requests are paid. Keeps detailed schedule to ensure checks are processed upon completion of various drafts. Updates new curriculum payment schedule. Compiles summary reports as needed.
  • Prepares necessary paperwork for Finance Department regarding classroom education royalty agreement payments. Monitors and updates payment spreadsheet as necessary.
  • Assists both Sr. Manager of Classroom Education and Sr. Manager TBE with annual budget and reforecasts.

Contracts

  • Responsible for drafting and completing developer & reviewer contracts in Classroom Education and TBE departments. Works closely with Sr. Manager Classroom Education, Sr. Manager TBE, Manager of Seminar Development, and Legal Department to ensure that language, deadlines, and costs are accurately reflected in the contracts.

Web site manager/monitor for education programs

  • Responsible for creating and updating student access Web pages and Web page templates for seminars and courses using CMS (content management system). Periodically reviews Web information for user-friendliness, accuracy, and market appeal. Prepares downloads.
  • Compiles information, updates, and edits for the Chapter Seminar Resource Web site page on ongoing basis. Includes the creation of the Web site page templates for the student access pages; creation of downloads for the student access pages (schedule and overview); Web site page templates for the Chapter Resources pages; creation of downloads for the Chapter Resource pages (learning objectives, seminar schedule, seminar description for marketing); forwarding all templates, downloads, and instructor PowerPoints and handouts for the Chapter Resources pages to Web master; creating the student access pages and adding downloads into the CMS.
  • Gathers, creates, and maintains the Zip files of the PowerPoints for all the courses and seminars and forwards them to the Web master for upload to the instructor downloads page of the Web site.
  • Creates instructor updates for the Instructor downloads page on the Web site. Will work with Managing Editor and Instructor Specialist to create user-friendly Instructor Community pages for each course that includes revision updates, change summaries, and other miscellaneous information for instructors.   • Updates TBE internal wiki site with all information related to online program development schedules (new programs and revisions), as well as content development procedures and processes.

Data base

  • Accountable for AIMS database updates. Revises and/or creates and adds templates for new course and seminar materials to AIMS database for accurate materials ordering. Includes network provider order, instructor order, and online registration system (OLRS) student material order. For TBE, accountable for corporate database content updates. Revises and/or creates and adds templates for new course and seminar materials to database for accurate registration, faculty assignment, and student materials ordering.

Liaison

  • Acts as liaison between Classroom, TBE and Delivery teams. Communicates all information regarding new materials, revisions, delivery issues, exam issues, and OLRS changes to ensure delivery services and chapter services relay information to their customers correctly and effectively.
  • Acts as liaison between Classroom/TBE/Development staff and Marketing staff. Develops and communicates initial marketing plan that includes schedule, copy preparation, and means of delivery for each new classroom education program. Works with Managing Editor of Classroom Education to ensure copy is written, edited, proofed, and delivered to source on time. Monitors effectiveness of delivery.

Administrative/Miscellaneous

  • Prepares copyright applications.
  • Maintains Classroom Education library.
  • Assists both Sr. Manager Classroom Education and Sr. Manager TBE in preparing materials for Education Committee.
  • Project coordinator for webinar programs.
  • Assists TBE instructional designers/technologists with online education content revisions as schedule allows.

JOB QUALIFICATION REQUIREMENTS:

  • BA degree in Liberal Arts or Business Administration.
  • Two years work experience in an association and/or service oriented environment (preferred).
  • Proven project management skills.
  • Excellent organizational skills-ability to multi-task.
  • Self-starter with ability to act independently.
  • Ability to interact with developers, members, outside clients, vendors, and staff.
  • Ability to analyze data or information.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Word, PowerPoint, Excel. Knowledge of AIMS desired.
  • Customer service/problem solving skills.
  • Familiarity with Learning Management Systems (LMS), especially Angel, preferred.
  • Familiarity with web-based development tools including Adobe Creative Suite.
